Who we are
Charlie & Bella's Creations CIC is a Community Interest Company registered in England and Wales, company number 17214107, registered office 50 Bowers Drive, Bursledon, Southampton, England, SO31 8LZ. We are registered with the UK Information Commissioner's Office as a Data Controller, registration reference ZC159660. You can verify this on the ICO public register.
The information we collect
When you bid in an auction, we collect your email address, an optional name, your bid amount, and the time and IP address of the bid. When you submit artwork, we collect the parent or guardian's name and email, the child's first name and age if you choose to give them, the artwork image, and any message you send. When you donate, payment is handled by PayPal; we receive confirmation details such as your name, the amount and a transaction reference, and we do not see or store card details. Administrators have a name, email and login records. We also keep any messages you send us.
Children's information
We take particular care with children's information. A child's first name and age are only ever shown with the informed consent of a parent or guardian, and we never publish surnames, schools, addresses or other identifying details. All children's images are uploaded and managed by us, kept securely, and removed promptly on request. We follow the Information Commissioner's guidance on processing children's data.
How we use it and our lawful bases
We use your information to run the auction, contact winning bidders, review and display submitted artwork with consent, take payment, send service emails and keep proper records. Our lawful bases are your consent (for submissions, for featuring a child, and for any marketing), our legitimate interests in running the site safely, and contract or legal obligation where we fulfil a sale or meet accounting duties.
Who we share it with
We share information with PayPal to take payments, with MotifyMe Ltd which provides and maintains our website and systems on our behalf, with the providers that deliver our emails, and with anyone we are legally required to share it with. We never sell your information.
Storage, security and retention
Information is held securely, and submitted images stay private until we choose to publish them. We keep information only as long as we need it. Records of sales and donations are kept as long as our accounting duties require, and submissions are removed when no longer needed or on request.
Your rights
Under UK data protection law you can ask to access, correct, erase, restrict or object to our use of your information, ask for portability, and withdraw consent at any time. To exercise any of these, email charlie.bella.creations@cbcreations.info. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
